The challenge

Verhelst had to comply with the Belgian CheckInAtWork legislation, which brought considerable extra administration.

Since the Belgian legislation on digital attendance registration came into force on 1 April 2014, construction companies have been obliged to register every worker carrying out immovable works on sites worth €500,000 or more. That data is then forwarded to the NSSO, the Belgian National Social Security Office, which uses the CheckInAtWork system to counter social dumping. For a company such as Aannemingen Verhelst, with more than 150 workers, this meant a considerable extra administrative burden.

“The new legislation meant a great deal of extra work for our administrative team. We had to find a way to ease that burden without losing the overview,” says Johan Verhelst, managing director of Aannemingen Verhelst.

Every worker has a personal badge, so they can register their time easily as soon as they arrive on site. The data goes to the GeoDynamics servers in real time and on to the NSSO from there.

The solution

GeoDynamics automated attendance registration and payroll administration for Verhelst.

GeoDynamics provided the answer with automatic links to the NSSO, allowing companies such as Verhelst Aannemingen to automate most of their attendance registration. Verhelst chose to install activity panels in every one of their vehicles, which simplified attendance registration and also automated job costing and payroll administration, including the mobility allowance.

Thanks to this system, Verhelst now runs more than 65% of its attendance registration fully automatically, which saves the company a significant amount of time. Subcontractors remain a challenge, because they have to register too. GeoDynamics also supplies systems that handle this registration for subcontractors.

“We save a lot of time thanks to GeoDynamics,” says Johan Verhelst. “It lets us handle complex legislation effortlessly, without extra pressure on our administrative team, so we can concentrate on the work we are actually here to do.”
